An equivalent spare is a part that meets the same technical specification as the one requested but comes from a different manufacturer; used correctly, it keeps a vessel moving without compromising safety, but it must always be proposed, not assumed.
What counts as an equivalent spare
An equivalent, or 'equal', spare is a part manufactured by a company other than the original equipment maker that meets the same dimensional, material and performance specification as the original part number. It is not a generic substitute chosen because it is cheaper or on the shelf; it is selected because its specification, verified against a standard such as DIN, JIS or ISO, or against the OEM drawing, matches what the equipment requires. The term is sometimes shortened to 'equal' or 'alternative' on a quotation, and it is worth reading that word as a claim that needs backing, not a label that settles the matter on its own.
The distinction matters because 'similar looking' and 'equivalent' are not the same thing. A bolt of the right diameter but wrong grade, or a gasket of the right size but wrong material, can fail under conditions the original part was rated for, even though it fits on installation.
A properly sourced equivalent also comes from a manufacturer with its own quality control and traceability, typically operating to ISO 9001 or an equivalent quality system, which is quite different from an uncertified copy of unknown origin sold purely on price. The two are sometimes confused because both are cheaper than the OEM part, but only one of them carries the paperwork and manufacturing discipline that lets a chief engineer trust it in service.
Why substitution happens
OEM parts sometimes carry long lead times, are only stocked in the country of manufacture, or come at a price that is hard to justify for a routine maintenance item. In a port call measured in hours, waiting for an OEM part to arrive is often not realistic, so a supplier with technical knowledge of the equipment proposes an equivalent that can be sourced and delivered within the call. Cost is a genuine factor too, particularly for parts consumed in volume over a maintenance schedule, where the price difference between OEM and a properly verified equivalent adds up meaningfully over a year of operation.
This is most common for consumables and wear parts such as filters, seals, gaskets, belts and bearings, where multiple manufacturers produce parts to the same recognised standard, and less common for parts specific to proprietary equipment design, where an equivalent may not exist at all.
Lead time pressure is not evenly distributed either. A vessel calling at a well-stocked hub port may find OEM parts available almost as quickly as an equivalent, which removes the question entirely, while a vessel calling at a smaller or less-served port may find the equivalent is the only realistic option within the time available, regardless of preference. Knowing which situation applies before the requisition is sent saves a round of disappointment later.
How a supplier should propose it
The correct sequence is: the vessel requests a specific part number or OEM item, the supplier checks availability, and if the OEM part cannot be sourced within the required time, the supplier proposes an equivalent explicitly, stating the manufacturer, the standard it meets and how it compares to the original. The decision to accept then sits with the vessel, normally the chief engineer, who knows the equipment's history and any manufacturer restrictions that might apply.
A supplier that substitutes quietly, without flagging the change on the quotation or delivery note, removes that decision from the people responsible for the equipment, which is the core problem with unmanaged substitution regardless of whether the part itself performs adequately.
A useful habit on the technical side is a short cross-reference note attached to the quotation, listing the original part number alongside the proposed equivalent's manufacturer and part number, so the comparison is on record rather than a verbal assurance. This becomes valuable months later if the same equipment needs the same part again, since the vessel already has a checked reference rather than starting the comparison from scratch.
What should never be substituted without sign-off
Safety-critical items, anything tied to class or statutory certification, and parts where the manufacturer specifically restricts use to genuine OEM components should never be substituted without the equipment maker's or class society's position being checked first. This includes items such as certain safety equipment, life-saving appliance components and specific engine parts where class rules or warranty terms explicitly require OEM sourcing.
For everything else, a documented, chief-engineer-approved equivalent is a normal and accepted part of ship supply, not a compromise, provided the paper trail, quotation, technical reference and delivery note, makes clear exactly what was supplied and why. This turns a decision that once took a phone call and a judgement into something closer to a lookup, since the equivalent for a given part number is already known and already approved.
Building this list is mostly a matter of keeping records rather than anything more complex: saving the cross-reference note from each accepted substitution alongside the vessel's or fleet's technical files means the next occurrence does not require re-deriving the answer, and a supplier that keeps its own parallel record of what has been supplied to a given vessel over time can usually produce that history quickly if asked.
